Morgan Maguire, CEO
Hi everyone,

Further to our call this morning, I have updated the timelines in the Google spreadsheet above. Savannah Mitchell, Project Manager at Industrial Savannah and Jitesh Dhuravala, DevIT Jitesh please review the timelines, and provide any feedback on whether there is anything that needs to be adjusted. As I mentioned during the call, it's important that everyone is in agreement on these timelines, so that we can update the estimated launch dates for the new ISLG and ILG.

Thanks,

Hi Morgan Maguire, CEO Morgan ,

I have checked shared Google spreadsheet. ISLG and ILG timeline for analyzing/tagging and document tagging respectively is fine. Further timeline we should  review user story than will predict it. but I hopefully it will work.

Thanks,
Jitesh
Morgan Maguire, CEO
Thanks for confirming Jitesh Dhuravala, DevIT Jitesh .

Understood concerning the outstanding user stories. However, when the users stories are moved to the backlog, please ensure you review them and let me know if we're still able to meet the deadlines outlined the timelines. I really don't want to push back the launch dates any further.

Thanks,

Morgan

Great. Thanks Jitesh Dhuravala, DevIT Jitesh . Good work on getting this complete.

Savannah Mitchell, Project Manager at Industrial Savannah , we'll let's discuss getting the UAT complete during the call this morning. It would be ideal if we could get ILG admin site up and running by next week, because I'm planning on meeting with Doug Buchanan to get the subject matter expert process started, and he's asked for a demo of the updated site.

Hi Morgan Maguire, CEO Morgan ,

As per ILG timeline for resolve bugs and pending cards, We have uploaded latest version that accomplished all resolved bugs and cards. In that only reordering card and some critical bugs team is working on it and doing proper testing from our side.

Thanks,
Jitesh
Morgan Maguire, CEO
Ok. Sounds good, Jitesh Dhuravala, DevIT Jitesh . Have all the applicable cards been moved to the appropriate stages in TargetProcess, because I'm seeing quite a few cards in development stages across a number of features:

Thanks,

Morgan

Jitesh Dhuravala, DevIT
Hi Morgan Maguire, CEO Morgan ,

All cards are have in appropriate stages in TargetProcess, Actually cards you are seeing in "In Progress" those cards have bugs so it is showing in development stages but development has been completed on those cards, Team are working on those bugs and due to these bugs industrial team moved those card at " In Progress".

Quick summary of Cards,

Planned      :   4  ( need your input or need to close )
In Progress :  8  ( due to bugs are exist so card showing here )
Backlog       :  5  ( subscriber side like user session and reorder related cards,                                   In Planning)

Thanks,
Jitesh
Morgan Maguire, CEO
Hi Jitesh Dhuravala, DevIT Jitesh ,

Perhaps Savannah Mitchell, Project Manager at Industrial Savannah or Melissa Cowell, General Manager at Industrial Melissa can comment on what the appropriate stages for cards in the bug resolution process, but my understanding was that bugs that have been completed are moved back into UAT for further testing. That way it's clear what cards need further testing and review.

Thanks,

Morgan

Melissa Cowell, General Manager at Industrial
Morgan Maguire, CEO Morgan Jitesh Dhuravala, DevIT Jitesh

To clarify, it is our typical process to move cards from UAT back to 'In Progress' as bugs are logged. Bugs go to planned for the dev team to triage. As bugs all bugs for a user story are resolved/moved to UAT, the related user story should be moved back to UAT by the dev team for another round of testing.

Mel
Jitesh Dhuravala, DevIT
Hi Melissa Cowell, General Manager at Industrial Melissa ,

Right, it make sense. We will follow the process. Thanks.
Morgan Maguire, CEO
Great. Thank you, Melissa Cowell, General Manager at Industrial Melissa and Jitesh Dhuravala, DevIT Jitesh . So based on the above and the screenshot below), there is still plenty of work for both teams to complete on ISLG admin.

Let's keep at it, and get this complete as soon as possible since we're passed the November 15th deadline.

Thanks,

Morgan
Morgan Maguire, CEO
Hello everyone,

I have updated the project timelines for ISLG and ILG: https://docs.google.com/spreadsheets/d/1ArmqOfOLDeME0i1OzrnyueIDa6_Xam4P_nZ1ddv5dW8/edit#gid=0. As you'll see I've added additional rows separating UAT and UAT bugs that are assigned to Industrial and DevIT, respectively. I have also created a separate row for manual HTML coding, which we need to consider as part of the overall timeline for each project, because both projects will likely need a considerable number of PDF documents manually converted to HTML.

Please review the timelines, and comment whether it is within your capacity to meet these deadlines. Also, if there are any adjustments you think we need to make on timing (i.e., whether certain tasks can be started before others are finished, etc.), please provide your feedback, and we'll make the appropriate adjustments. We really need to improve out ability to meet deadlines going forward, so please give this careful consideration.

Thanks,

Morgan

Morgan Maguire, CEO
Hi Jitesh Dhuravala, DevIT Jitesh ,

Following-up on my comment from last week above, could you please provide your input on the updated timelines.

Thanks,

Morgan
Jitesh Dhuravala, DevIT
Hi Morgan Maguire, CEO Morgan ,

I have checked updated timelines and also discussed with team. Following are some input from my side.

ISLG :

  • Resolve admin site UAT bugs : All cards exist in "Backlog" and "In process" it will seems like achieved within timeline of 31-December. other cards we will decide timeline once available in "Backlog".

  • Complete PDF to HTML conversion tool : achievable within timeline.

  • Data migration and sync between new and old : We will plan 2 resource will work on data migration part withing time line but We are little bit confuse in sync process so we will plan and discuss about sync process in next call.

  • Complete subscriber site development (and manager reports) : In month of January,  3 resources will start work on subscriber side and 2 resources will work on data migration. but if some new Admin side cards will come in "Backlog" or if some enhancement required in existing cards than we will plan 3 resources continue to work in Admin side and 2 migration process as already planned. so here might be subscriber side we can start in Feb instead of January.

ILG :

  • Resolve updates to admin site UAT bugs :  It will be achievable but there are some cards are also pending from our side especially reordering functionality so we would finished all Admin cards in 31-December. so please update start Date of subscriber side respectively.

Rest of timelines will work and achievable respectively. We will also discuss more in details in next Thursday call.

Thanks,
Jitesh
Morgan Maguire, CEO
Great. Thanks for the above Jitesh Dhuravala, DevIT Jitesh .

Re: ISLG, understood concerning the unforeseen cards for the admin site that may impede the start date for the subscriber side, which makes it all the more imperative that we get all the design complete (both admin and subscriber sides) before the Christmas holidays ( Melissa Cowell, General Manager at Industrial Melissa and Savannah Mitchell, Project Manager at Industrial Savannah please take note).

Re: data sync between old and new application, I'll ensure we discuss this during our team call next week. In the meantime, however, I'm going to start a separate message thread under TOLOGIX - ISLG App Rebuild to start a discussion of the issue.

Re: ILG, I have made the appropriate changes to the timeline. The start date for subscriber site development work has been pushed back to January 1, and other tasks have pushed back as well that are dependent on getting that task complete.

Thanks,

Morgan

Going through the features mentioned above for ISLG Admin on TargetProcess, I'm still seeing a lot of cards in Backlog, Planned, In Progress and In Testings, could you confirm that all the cards have been moved to the appropriate State.

Also, could we have a similar update on ILG Admin.

Thanks,

Morgan
Jitesh Dhuravala, DevIT

Hello Ketan Sondarva, Technical Project Manager at DevIT Ketan and Savannah Mitchell, Project Manager at Industrial Savannah ,

Following up on our discussing during last Thursday's call, could you please review and provide feedback on how the timeline above needs to be updated to meet our July deadlines for ISLG and ILG. As I mentioned, the July launched date is fixed, and we need to make the appropriate adjustments to make things work.

Thanks,

Morgan
Morgan Maguire, CEO
Hi Ketan Sondarva, Technical Project Manager at DevIT Ketan ,

I had a call with Savannah Mitchell, Project Manager at Industrial Savannah and William Roberts, QA Manager at Industrial William this morning, and to help us develop a more accurate plan to meet our deadlines over the next 6 months, and ensure you are provided with the HTML templates and design requirements that fit within your development schedule, when you are reviewing the timeline above, could you provide us with a spreadsheet that gives a more detailed looks at how each individual task is going to be completed. In particular, could you please provide a schedule on when the specific features are going to be started and completed.

This will help us understand how and when each task will be completed, and ensure Industrial prioritizes the appropriate HTML templates based on their order in the schedule.

Thanks,

Morgan
Ketan Sondarva, Technical Project Manager at DevIT

Savannah Mitchell, Project Manager at Industrial
Hi Morgan Maguire, CEO Morgan and Ketan Sondarva, Technical Project Manager at DevIT Ketan ,

After reviewing some metrics in in Target Process and Ketan's development schedule, we can commit to having UAT wrapped up by March 13th. This is based on:
  • The last scheduled feature, document treaties and arbitration, being in UAT by February 19th (as indicated in the ISLG user story schedule)
  • The new process posted on Basecamp being followed (as this will cut down on bug number and severity)
  • We have not taken the reporting feature into account as it was not in the schedule. Once we have the completion date for that feature, we will update our UAT completion date.

Thank you for the list of templates Ketan! Will you be providing estimated dates for these phases so we know when to have the templates ready?

Thanks

Savannah
Morgan Maguire, CEO
Savannah Mitchell, Project Manager at Industrial Savannah , could clarify what UAT tasks you're referring to, because there are a number of UAT tasks across both ISLG and ILG in the timeline. For example, I assume we'll be able to wrap up ILG admin site UAT before March 13th.

Thanks,

Morgan
Savannah Mitchell, Project Manager at Industrial
Hi Morgan Maguire, CEO Morgan ,

Sorry about that. You're right, I was referring to ISLG admin.

For ILG Admin, the current 4 cards related to manage meta fields will go through UAT by the end of the day today.

The cards related to document tagging will be put through a first pass within two days of DevIT completing their testing. Once DevIT has resolved the bugs we find, it will take us 1-2 days to do a second pass.

So, based on their estimate completion date of February 8th:

Feb. 10 - Industrial starts UAT on Document Tagging
Feb. 12 - DevIT starts resolving bugs
Feb. 17 - Industrial: UAT on document tagging: Round 2
Feb. 19 - DevIT resolves round 2 bugs
Feb. 24 - Industrial: UAT round 3

I think it is safe to say all ILG admin will be wrapped up by the end of February, provided there are no huge issues with document tagging. However, if we feel this needs to change based on number or severity of bugs, we will let you know.

Savannah
Morgan Maguire, CEO
OK. Thanks Savannah Mitchell, Project Manager at Industrial Savannah .  Could I get the same breakdown for ISLG admin, ILG subscriber and ISLG subscriber. We need to map everything out to launch for both products.

Morgan
Morgan Maguire, CEO
Hi Savannah Mitchell, Project Manager at Industrial Savannah and Ketan Sondarva, Technical Project Manager at DevIT Ketan ,

Based on the above, I have updated the ISLG and ILG timelines accordingly. Please review and respond to the following:

ISLG Rebuild
  • Ketan Sondarva, Technical Project Manager at DevIT Ketan , the ISLG Admin User Story report, all user stories (with the exception of 12576, 13478 and 11207) should be completed by February 19th. Assuming that 12576, 13478 and 11207 will be completed by February 29th, I have made the deadline for completing all admin site development February 29th. Please confirm.
  • Savannah Mitchell, Project Manager at Industrial Savannah , based on your feedback above, I have made the deadline for completing all admin site UAT and resolving admin site UAT bugs, March 15th.
  •   Ketan Sondarva, Technical Project Manager at DevIT Ketan , could you please provide an estimate on when all to-do's concerning HTML conversion are complete: To-dos - TOLOGIX - PDF to HTML Conversion. This estimate will be used to update the timeline for completing PDF to HTML conversion tool in ISLG. Currently I have the deadline set for February 29th.
  •   Savannah Mitchell, Project Manager at Industrial Savannah , please provide an estimate for completing all subscriber site design (including manager reports for admin site). Currently, the deadline is set for February 29th.
  • Ketan Sondarva, Technical Project Manager at DevIT Ketan , my understanding is that ISLG subscriber site development should be underway by next week. Could you please provide an estimate on completing all the features in ISLG subscriber site. Currently, I have set a deadline for April 30th.
  • Savannah Mitchell, Project Manager at Industrial Savannah and Ketan Sondarva, Technical Project Manager at DevIT Ketan , I have not made an adjustment to the period dedicated to completing all UAT and resolving all UAT bugs for the ISLG subscriber site. We're working with a tight time-frame to get everything completed by May 31st, but this needs to be a firm deadline for us to have sufficient time to design and deploy the marketing site.
ILG
  • Ketan Sondarva, Technical Project Manager at DevIT Ketan ,  users stories 9725, 10000 and 10016 have blocked status, because they are waiting on other features to be completed. However, could you please provide an estimated completion date, because I believe some requirements from these user stories are required to get the analyzing/tagging features complete and subject matter trial underway (we will be performing a trial with a series of subject matter experts to monitor and test the ILG document tagging process).
  • Assuming the user stories above are completed by February 15th, I have set the deadline for completing all updates to admin site development for February 15th. Ketan Sondarva, Technical Project Manager at DevIT Ketan , please confirm that this is appropriate.
  • Savannah Mitchell, Project Manager at Industrial Savannah , based on your comments above, I have set the deadline for completing all UAT and resolving all UAT bugs for February 29th.
  • Based on the above, I have set the subject matter trial to begin on March 1st.
  •   Ketan Sondarva, Technical Project Manager at DevIT Ketan , my understanding is that the ILG subscriber site development should be underway by next week. Could you please provide an estimate on completing all the features in ISLG subscriber site. Currently, I have set a deadline for March 31st.
  • Savannah Mitchell, Project Manager at Industrial Savannah and Ketan Sondarva, Technical Project Manager at DevIT Ketan , assuming certain features on the ILG subscriber site will be completed by the end of February and moved into UAT, I have maintained the same time-frames for completing all UAT and resolving all UAT bugs to be completed on April 30th. Please confirm that this is appropriate.
Thanks,

Morgan
Ketan Sondarva, Technical Project Manager at DevIT

Please ensure all the details above are confirmed by Monday, February 3rd. I need to send a package to my shareholders next week in preparation for our AGM on the 19th, and I need to confirm that the timeline above is accurate.

Hi Savannah Mitchell, Project Manager at Industrial Savannah ,

Would you please let us know when we can get design templates for ISGL & ILG of phase 1 so we can plan accordingly.

Ketan Sondarva, Technical Project Manager at DevIT
Hi Morgan Maguire, CEO Morgan ,

We have one query related to Subscriber site for ILG. As we have not found any login, registration & user management module story so please suggest.

Thanks,
Ketan
Morgan Maguire, CEO
Hi Ketan Sondarva, Technical Project Manager at DevIT Ketan ,

Yes, the ILG login, registration & user management needs to be dealt with.

Melissa Cowell, General Manager at Industrial Melissa , how should we handle this?

Thanks,

Morgan
Melissa Cowell, General Manager at Industrial
Morgan Maguire, CEO Morgan

It looks like these specific features were not covered in the scope of our most recent work on ILG. So far, the assumption has been that anything not explicitly covered within the new scope would be maintained from the original prototype. However, upon review, subscriber login and subscriber side user management were not included the prototype.

That being said, given the similarities of the admin user management between the applications we can likely base ILG subscriber side user management on what we've done for ISLG.

The same can be said for login and registration, assuming you would like to follow the same process.

If this is how you would like to proceed we can decide where this fits in terms of priorities and make a plan for the required revisions to stories and templates.

Mel
Morgan Maguire, CEO
Hi Melissa Cowell, General Manager at Industrial Melissa ,

Yes, let's put together an plan for implementing a similar system to ISLG in ILG. In fact, I don't see why there should be any differences between the two.

Morgan
Melissa Cowell, General Manager at Industrial

Sounds good. I'll work on moving these stories over.
Can you confirm this should also include Session tracking by client and matter number?

Mel

Ok. Great Melissa Cowell, General Manager at Industrial Melissa .

Yes, we'll need this intergrated into the admin site as well. However, this work can be completed after we get the Subject Matter Expert trial complete.

Hi Morgan Maguire, CEO Morgan , Melissa Cowell, General Manager at Industrial Melissa ,

Please suggest as we are expecting to start with ILG Subscriber site - Login, Registration & User management module. We need to have stories and template related so please provide asap.

Thanks,

Morgan Maguire, CEO
Hi Savannah Mitchell, Project Manager at Industrial Savannah ,

Did you and Ketan Sondarva, Technical Project Manager at DevIT Ketan determine the best way to approach getting the ILG subscriber tasks underway this morning? I understand it may take some time to get Login, Registration & User Manager requirements complete, but I assume they can start working on other subscriber site feature in the interim.

Thanks,

Morgan
Savannah Mitchell, Project Manager at Industrial
Hi Morgan Maguire, CEO Morgan ,

Yes. We will be complete HTML templates for login and registration by the end of this week. User Management requires a little bit more work and not something we had originally planned for. This template will be completed after the other templates listed in the phases above.

Ketan Sondarva, Technical Project Manager at DevIT Ketan , beside each of the phases in your list above, could you provide approximate dates you will be beginning each phase so we can resource accordingly?

Melissa Cowell, General Manager at Industrial Melissa and I have gone through the above deadlines and confirm our commitment to them. However, one issue that I believe we are addressing right now is the possibility of not releasing any updates until the 19th: Re: Development & Testing Process - TOLOGIX - ISLG App Rebuild. This will make it difficult to reach our deadline and we should consider how we could revise the release schedule.

Savannah
Savannah Mitchell, Project Manager at Industrial
Note: I edited the message above re. templates after discussing with Mel.
Morgan Maguire, CEO
Ok. Thanks for the update Savannah Mitchell, Project Manager at Industrial Savannah .

It sounds like this 19th release date for admin site if going to be a problem. We'll discuss this on Thursday, but let's ensure we're entering the discussion proposing solutions to the problem.

Thanks,

Morgan
Jitesh Dhuravala, DevIT

Morgan Maguire, CEO
Hi Jitesh Dhuravala, DevIT Jitesh ,

Apologies for the delayed reply. It was a holiday weekend here in Canada.

OK. Great. I see the all the remaining Document Tagging cards in ILG Admin have been moved to UAT, and I understand that Naomi Joanis, UX Team Lead at Industrial Naomi will be reviewing them tomorrow.

I've marked the 'complete updates to admin site development' task complete in timeline.

We now have 9 working days to complete and resolve all issues resulting from UAT.

Hi Melissa Cowell, General Manager at Industrial Melissa ,

Apologies for pulling references data  comment.  I have seen in Target Process that you have updated the criteria in story.
Harsh Parikh, Tech Lead at DevIT
Hi Melissa Cowell, General Manager at Industrial Melissa ,

As discussed on yesterday’s call, regarding new changes, acceptance criteria suggested by you on target process, we will look into that once we are done with pending admin stories/issues by 29th Feb, 2020.

In case if they are show stopper then we will prioritize accordingly.
Morgan Maguire, CEO
Savannah Mitchell, Project Manager at Industrial Savannah , did you ever get clarification on the comment above?

Morgan
Melissa Cowell, General Manager at Industrial
Hi Morgan Maguire, CEO Morgan

On our recent UX/Dev checkin call we discussed that some of the feedback provided in UAT are suggested improvements and/or changes that are not ciritical to functionality and were not estimated for based on the timeline for development.

We agreed that the feedback deemed as not critical should still be captured, but should be tackled after the core development to avoid any impacts to the deadline.

For now in UAT, we will be moving these types of issues to 'Planned' to be priortized and estimated separately.

Mel
Morgan Maguire, CEO
Ok. Sounds good, Melissa Cowell, General Manager at Industrial Melissa . Thanks for the update.

In 1st link, The criteria is Active + Primary and in 2nd card the criteria is only Active.

We are assuming the refrences are same in all master tree (i.e Active + Primary).

Please let us know.

Hi Melissa Cowell, General Manager at Industrial Melissa and Savannah Mitchell, Project Manager at Industrial Savannah ,

Hope all are doing well.

Today, we have released new version of ISLG Admin stories on rebuild.islg and put all relevant stories on UAT.

Just following 4 stories related to admin section are in progress

  • 14404 :- Dispute > Additional Dynamic and Required Fields (Depended on story no. 11207)
  • 14818 :-  Document Reference Branches > Not being Grouped by reference (This change we found last week and team is working on it and will release this by end of this week)
  • 11207 :-  Add new meta-field > Drop down/searchable drop down > Use values from field (This story is technically bit complex and we need to modify some database structure to achieve it. We will update you soon.)
  • 13643 :-  Add Branch > Dispute Document > Cannot select portion of the document (Due to some technical problem, this story need some more time and will release this by end of this week)

Melissa Cowell, General Manager at Industrial Melissa and Naomi Joanis, UX Team Lead at Industrial Naomi , The Development team and QC were tested the tagging selection by taking 8 to 9 different kind of Dispute Document PDFs and it seems working fine.

If you will find any issue in tagging selection then please attach that PDF in Target Process relevant card.

Hi Savannah Mitchell, Project Manager at Industrial Savannah and Melissa Cowell, General Manager at Industrial Melissa

I assume everyone is putting their full attention on UAT today and tomorrow for ISLG admin. Note that this should take priority over all other tasks, including the cards that were moved into UAT for ILG admin. I'll take a preliminary look at these cards, and provide feedback as necessary.

Thanks,

Morgan

Thanks Harsh Parikh, Tech Lead at DevIT Harsh

The UAT column is clear. As discussed during our last call, it would be helpful to both sides if you could highlight what features/cards require more heavy development so we can test those first in case there are multiple iterations. Feel free to indicate which cards those would be here.
